Service Manager

McIntosh & Son, Wongan Hills is seeking an experienced Service Manager to lead our Service team. Reporting to the Branch Manager, we are looking for a motivated and experienced leader who can drive workshop performance, develop a high-performing team and deliver an outstanding customer experience.

This is a key leadership role responsible for the overall performance of the Service Department. You'll oversee day-to-day workshop operations, coordinate workflow and resources, manage customer relationships and drive productivity, profitability, safety and continuous improvement.

Key Responsibilities

• Lead, manage and develop the Service team, including Supervisors, Technicians and Apprentices
• Oversee day-to-day workshop operations, job allocation, workflow and resource planning
• Drive workshop productivity, labour recovery and profitability targets
• Monitor job costing, timesheets, invoicing and departmental costs
• Maintain strong relationships with customers and act as the primary contact for service enquiries and escalations
• Work closely with Parts and Sales to ensure a seamless customer experience and efficient branch operations
• Liaise with suppliers and OEMs regarding technical support and service requirements
• Monitor service quality and minimise rework, waste and downtime
• Ensure a safe, clean and organised workshop environment
• Oversee training, development and performance of the Service team
• Identify and implement continuous improvement opportunities
• Ensure compliance with company, WHS and legislative requirements

About You

• Trade qualified in Agricultural Machinery, Heavy Diesel, Automotive or a related mechanical trade
• Proven experience in a Service Manager, Workshop Manager or similar leadership role
• Strong leadership and people management skills
• Excellent communication, organisational and planning skills
• Strong commercial and financial acumen, including budgeting and cost control
• A strong customer service focus and commitment to service excellence
• Sound knowledge of workshop operations, machinery and service processes
• Ability to manage multiple priorities in a fast-paced environment
• Strong computer skills and the ability to use service management and business systems effectively
• A current driver's licence is essential
• Experience in the agricultural machinery, heavy equipment or related industries will be highly regarded

Parts Interpreter

McIntosh & Son, Wongan Hills, are seeking an experienced Parts Interpreter to join our team in a full-time position.

Reporting to the Parts Manager, this role will suit a motivated and customer-focused Parts Interpreter with strong parts knowledge, excellent attention to detail and the ability to work effectively in a busy dealership environment.

Key responsibilities

• Establish, develop and maintain positive relationships with customers and internal staff
• Identify and understand customer parts requirements and provide suitable solutions
• Provide accurate parts information, advice and support to customers
• Prepare parts quotations, process orders and contribute to achieving sales targets
• Identify opportunities to grow parts sales and develop new and existing customer relationships
• Assist with parts merchandising and maintaining attractive, well-organised displays
• Participate in stocktakes and maintain accurate inventory records
• Assist with the timely resolution of customer queries, problems and complaints
• Work as part of the wider dealership team to support efficient parts and service operations
• Participate in seasonal Saturday and on-call rosters as required

About you

• Previous experience as a Parts Interpreter, preferably within the agricultural, automotive, earthmoving, heavy equipment or related industry
• Ability to work seasonal Saturdays and outside normal hours during peak seasons
• A supportive team player with a can-do attitude
• Ability to learn and adapt to new systems and technology
• Proven ability to build professional relationships with clients and seek new parts sales opportunities
• Good problem-solving skills and ability to multitask and prioritise
• Ability to interpret a technical diagram

What you'll be doing:

Working as a Heavy Diesel Mechanic, you will join a team of service professionals who have a great sense of pride in delivering an exceptional standard of service to customers.

Your work will vary from being in the workshop - completing all fit outs of new and used agricultural machinery, prior to delivery - through to on-farm break down call outs and servicing.

What you'll need to succeed:

• Trade qualified
• Basic computer skills
• A valid driver’s licence
• Exposure to agriculture machinery (preferred but not essential)
• Exposure to hydraulics and electrical knowledge (preferred but not essential)
• If you do not have agriculture field service experience, don’t let that deter you from applying.

McIntosh & Son have an exciting opportunity for a Service Administrator to join our Wongan Hills team. This is a part-time position with flexible working hours available, including school hours for the right candidate.

About the role:

You will provide end-to-end administrative support to our busy Service Department, with responsibilities across service coordination, invoicing, and warranty processing.

Key Responsibilities

• Manage repair orders from start to finish, including technician hours and progress tracking
• Process customer invoicing, including labour, parts, and expenses
• Coordinate warranty claims, submissions, and follow-ups
• Maintain accurate records via Tech App and ERP
• Communicate with customers regarding job updates and enquiries
• Provide general administrative support, reporting, and filing

About You

• Admin experience in a workshop or mechanical environment preferred
• Strong attention to detail and accurate data entry
• Excellent communication and organisation skills

Branch Administrator

McIntosh & Son, Wongan Hills is seeking an experienced Branch Administrator, to support the team.

Reporting to the Branch Manager, this is a key role that provides essential financial and administrative support to our branch team while also overseeing the day-to-day coordination of our Receptionist.

This is more than an administration role. We are looking for an experienced finance professional who has a strong understanding of accounting processes, financial reporting and reconciliations , and who is confident working independently, identifying and resolving issues and taking ownership of the accuracy and integrity of financial information.

The successful candidate will be highly organised, commercially minded and detail-oriented, with the judgement and initiative to manage competing priorities in a busy branch environment. You will build strong relationships with customers, suppliers and internal stakeholders and take pride in providing accurate, timely and professional support to the branch team.

Key Responsibilities

Accounts Payable & Accounts Receivable (Essential Demonstrated Experience)

• Process supplier invoices, purchase orders, payments and credit notes with accuracy and efficiency.
• Manage customer invoicing, payment allocations, reconciliations and follow-up of overdue accounts to maintain consistent cashflow.

Daily Administration Support

• Perform a broad range of administrative tasks to assist with the smooth running of the branch, including managing correspondence, filing, preparing documents, organising records and maintaining office systems.

Debtor & Creditor Management

• Maintain up-to-date debtor and creditor ledgers, monitor account balances, resolve discrepancies and communicate effectively with customers and suppliers regarding account queries.

Banking & Reconciliations

• Handle daily banking requirements such as deposits, EFT transactions, reconciliations and maintaining accurate financial records.

Data Entry

• Accurately input, update, and maintain data across multiple systems to ensure records are precise, current and accessible for reporting and operational needs.

General Office Administration

• Support the day-to-day operations of the branch through report preparation, document formatting, scheduling, ordering supplies and assisting with various administrative tasks as required.

Team Coordination – Reception

• Provide day-to-day guidance and support to one Reception team member, overseeing workflow, task allocation and service standards.
• Assist in creating a positive, professional and customer-focused front-of-house environment.

Reception Support (as needed)

• Provide coverage for reception duties, including answering incoming phone calls, greeting visitors and ensuring all enquiries are handled promptly and professionally.

Skills & Experience

• Tertiary or minimum of 5 years equivalent experience in a Finance/Accounts role with a focus on Accounts Payable and Accounts Receivable
• Experience with General Ledger, Balance Sheet and P&L Analysis and reporting
• Outstanding and professional telephone manner
• Proficient computer literacy, including Word, Excel (Intermediate leave) and Outlook
• Strong data entry accuracy and the ability to prepare basic reports
• Experience performing general office and administrative duties
• Ability to multitask, prioritise and adapt in a busy environment
• Strong relationship-building skills with both internal and external stakeholders
• Excellent written and verbal communication skills

Reporting to the Branch Administrator, you will be the first point of contact when someone enters the dealership. Being on reception, we are looking for an enthusiastic self-motivated person with an eye for detail, who is friendly, systematic and driven by achieving results to support our fast paced environment.

This is a great role if you are looking for a change and want to work in a busy environment where you have variety in your day and an opportunity to grow in your role and take on more administration responsibility.

We are looking for someone who prides themselves on their reliability and strong work ethic, who enjoys customer service with both our external customers and team members.
